Configure Gmail delivery

A Super Admin sets one encrypted sender connection for all centres.

Look for: Email settings

  1. Open Email settings. Enable Google 2-Step Verification and create a Google app password for this app. Enter the Gmail or Google Workspace sender address and that app password, sender name and the app's public HTTPS address including its port if needed. Some Google account policies disable app passwords.
  2. Enable outgoing email, choose a daily allowance and enter your current password and a fresh authenticator code to save. The app password is encrypted; it is never filled back into the form. A blank password keeps the stored one. To remove it, disable outgoing email and select Remove stored app password.
  3. Press Send test email to the sender address, wait for the queue and check that inbox and delivery status. Sent means Gmail accepted the message; it does not guarantee inbox placement. Check spam too. No inbox-reading permission is used.
  4. The allowance applies to all centres and includes verification, password recovery, tests, notifications and reminders. The default is 100 emails per UTC day; Super Admin can choose 1–2000. Google has separate limits. Changing sender settings cancels messages queued under the previous settings; request them again.
  5. To offer password recovery, separately enable it in Sign-in settings. Staff and students need a verified registered email. The connection alone does not enable Forgot password or send invitations.

An uncertain or interrupted delivery is not retried automatically because Gmail may already have accepted it. Confirm with the recipient before sending another copy. The worker checks queued email every minute.
