Approve staff time from one list
See every pending day you may review, approve several together and open any day that needs a correction.
For: Teacher, Centre Manager, Super Admin, Attendance & payroll staff
Look for: Staff approvals
- Open Staff approvals. The sidebar badge counts the days you could approve now. Choose a period and, optionally, one person; the list starts with the last 60 days and shows the oldest 200 first. Days returned for correction stay listed until they are corrected and approved, so the total matches the pending or returned days in Payroll & payments. Students appear only when the centre requires separate student review.
- Each row shows the date, person, status, hours and their basis, arrival and departure, and who entered the day. Ready to approve means nothing blocks approval. Otherwise the reason is shown, such as a missing checkout, unknown hours, a scheduled finish awaiting confirmation, your own or self-entered day, or a manager's day needing Super Admin permission.
- Tick the ready rows or Select every approvable day, add a review note when your centre requires one, and choose Approve selected days. Up to 200 days go in one batch, all approved together or none; a row changed elsewhere stops the batch so you can reload.
- Open day leads to the record page for corrections, scheduled-finish confirmation or returning the day with a reason. Reviewing one day at a time still works there.
- Payroll Viewers and Managers can read the list but do not gain approval permission. Teachers and ordinary recorders cannot approve their own entries. A Centre Manager can confirm their own entries when second review is off.
- A Centre Manager can turn on daily or weekly email reminders about staff time awaiting approval or correction in Attendance settings. They go to reviewers whose scope covers staff and contain a count and a link only.
Each approved day still receives its own audit entry with the reviewer's name. Bulk approval never changes hours
times or status.
