Create people and assign teachers or assistants
Create accounts, change access and connect learners to the right staff.
For: Centre Manager, Super Admin
Look for: Students & teachers
- Use Students & teachers → Create student or Create teacher. Codes are generated automatically; complete the name and required sign-in details. A teacher cannot create accounts.
- Create attendance account is for a person who only needs attendance. After creating the account, assign its Attendance Manager, Approver or Reporter responsibilities in Roles & responsibilities. Each role covers this centre only.
- A Super Admin can choose Create accountant, enter a name and temporary password, and select Payroll Viewer or Payroll Manager. Codes are generated automatically. Creation and the payroll role are saved together; there is no teaching access. Use the Explicit payroll access account filter to find assigned people.
- An accountant is labelled Operations account, with its payroll role shown beside it. Share the sign-in page, centre code and username privately, with the temporary password separately. Automatic account invitation emails are not implemented; verified accounts can receive manually composed notifications. The accountant must enrol an authenticator and change the password before accessing payroll.
- Open a person to view their account status, roles and powers. Add a teacher’s subjects and class range in their teaching profile.
- In Assign teachers and assistants, select the centre first. Choose a student and the teacher/assistant, then save the mapping. Repeat for additional teachers; remove a mapping when it is no longer appropriate.
- A teaching profile describes what a teacher teaches; the student mapping controls which learners they can manage. Extra grants broaden only the permissions stated beside them.
- Use block/suspend to pause access. Archive account preserves history and moves the person to Archived students or Archived staff. Restore returns the account as blocked. Only a Super Admin can permanently delete personal data after archiving and fresh authentication.
- Use Reset password/authenticator after checking the person’s identity. Managers can manage eligible student/teacher credentials in their centre; shared identities and administrator accounts have stricter controls.
- Current payroll access also protects the account. Only a Super Admin can edit, reset, block, archive or restore that identity, including when the payroll role is held in another centre. Revoking payroll access through Roles & responsibilities takes effect on the next permission check.
