Assign attendance and payroll responsibilities

Give an existing adult account one or more responsibilities within a centre, or create a dedicated accountant.

For: Teacher, Centre Manager, Super Admin, Attendance & payroll staff

Look for: Roles & responsibilities

  1. An authorised manager opens Roles & responsibilities, chooses an existing person in this centre and selects their responsibilities. Create attendance-only account opens account creation with its own password and authenticator.
  2. A Super Admin can click Create accountant to create a new person with Payroll Viewer or Payroll Manager access in one step. For an existing person, choose Show responsibilities, tick the required payroll role, enter a reason and Save responsibilities. Viewer allows reading and downloads; Manager additionally manages other staff rates, caps and payment records.
  3. Attendance Manager can mark and download the chosen registers. Attendance Reporter can read and download but cannot change records. Attendance Approver can review the chosen audience; marking needs an additional role.
  4. Roles & responsibilities can cover Students only, Staff only or both, with an optional last day. Payroll roles cover staff only and require Super Admin assignment. A teacher can hold attendance roles while retaining their original teaching access. Wider attendance scope never widens learning-progress access.
  5. Only a Super Admin can enable May also approve Centre Managers' attendance, change another manager's module roles or control whether Centre Managers may delegate roles. Nobody edits their own module-role assignments.
  6. Assign more than one eligible approver so someone can cover an absent reviewer. The first phase uses a shared queue visible within the authorised scope, rather than automatic leave-based routing.
  7. My roles & permissions and each account's role screen list current module roles and scope. Role expiry or removal takes effect on the next permission check; it does not erase historical approvals.
  8. Attendance-only accounts cannot enter teaching, progress, chat, curriculum, account administration or AI settings, and cannot issue student access codes. Their reports contain attendance data, not family contacts or learning history.
